Minutes of the Board Meeting – September 5, 2001

The Haines House Underground Railroad Project Board of Trustees met at the Rodman Public Library at 7 PM, September 5, 2001.

Present were: Robb Hyde, President, Gordon Harrison, Maryjo Hepler, Maxine Haupt, Evelyn Brown, Pat Sacha, Jennifer Crist, Jesse Harry and Martha McClaugherty.

A motion was made by Jesse to hold regular Board meetings on the 4th Monday. Seconded by Evelyn. Motion carried. All committees are to have reports and agenda items to the secretary one week in advance. Meetings for the general membership will be held as needed.

Treasurer’s Report- Gordon Harrison

$1,784.00 checking

$7,000.00 90 day CD

$1,175.00 on hand to deposit

We have raised $9,590.00 to date. The mortgage is due November 13, 2001. The Morris Foundation has committed to an additional $6,000.00.

Fund-Raising Committee-Pat Sacha

Pat asked if we should publish in some way the list of donors? Board advised “yes.” The committee will be set up a meeting soon.

A motion by Jesse Harry about setting up a memorial endowment was tabled until the next meeting due to lack of information.

Renovation Committee-Jesse Harry, Chair

Jesse needs names of volunteers. Before winter we need to resolve the heating and plumbing problems. Pat Sacha’s brother-in-law, David Sacha is a restoration architect in Texas. He will be visiting next week and Pat has arranged to take him through the house to make recommendations.

Next Work Day – Sept. 15, 11 AM-2 PM

We need to remove trash, open up the stairway, clean the basement and remove more poison ivy and junk from the yard.

There has been some confusion about who does what concerning notifying members and getting the word out about work days and meetings. Maxine Haupt agreed to coordinate this, including E-mails, phone calls and contacting the Alliance Review.

Open House

The Open House will be September 22 from 2-4 PM. Martha had received volunteer information from Dr. Michelle Collins-Sibley, who wants to help with educational programs. Martha will contact her about being at the Open House.

Kathi Kibler filled out a volunteer form indicating that she would be a volunteer coordinator.

Community Presentations

“Wranglers” Sept. 20- Robb will do

Catholic Women’s Club-Maryjo will do in February

We need to go back to those groups we presented to last year and ask them for money.

Web Site

With the help of Karen Perone at the library, Robb has posted a Web Site for the Haines House Underground Railroad Project at www.hanieshouse.com.

New Business

Jesse Harry was voted in as a new board member.

Robb has found out about a National Endowment for the Humanities grant that grants up to $10,000 for interpretation. Martha passed on information she had received about grants from Wal-Mart to Pat Sacha and the fund-raising committee.

The meeting was adjourned at 8:35 PM
