Minutes of the Meeting - September 27, 2004 at 7:00 p.m.
In attendance - Robb Hyde, Kay Brown, Jennie Crist, Carolyn Miller, Danese Martin, Frank Barrett, Patricia Sacha, Martha McClaugherty, Maryjo Hepler, Beth Gray, Maxine Haupt, Gordon Harrison, Pat Lewis and Ginny Daniel.
President's Report - Kay called the meeting to order and introduced Howard Rubin.
Guest Speaker - Howard Rubin of the Stark Community Foundation spoke to us about the endowment agreement for the $27,000.00 we have deposited with them. They are responsible for investing it to receive the highest rate they can. He said we should not withdraw any of the principal (except in a dire emergency), but as a 501(C)(3) we can use the earnings for any project. We can put the earnings back into the endowment if we don't need them at the present time, or we can withdraw the earnings on a quarterly or yearly basis. The Foundation Board meets 6 to 10 times per year on an irregular basis. They charge ½ of 1% per year to administer the funds. The Foundation currently has 45 funds totaling $100 million. We need to decide how we want to withdraw our earnings (quarterly, yearly, or put back in) and then let them know. In order to take out any of the principal for an emergency use (ex. new roof) - we need a ¾ affirmative vote of our board and a 2/3 affirmative vote of their board.
Treasurer's Report - Gordon prepared a nine-month summary of our finances (Jan. to Sept.) We have had income of $6,906.68 and expenses of $11,760.13. The checking account balance is $5,946.23 and the savings account balance as of June 30 is $37,475.66. An itemized summary is attached to the secretary's minutes.
Education Report - 1) Martha reported that three MUC students signed up to volunteer at the house at the MUC Community Service Fair. She gave their names to the appropriate committee chairmen; 2) the Historical Society Conference is the first weekend in November - contact Martha for more information.
Renovation Report - 1) Maryjo reported that the Committee had made a wish list of items we need or would like to have for the house. Robb will include it in his fall mailing letter and, hopefully, we will receive some monetary or item donations to cover some of the needs; 2) we have received a change purse and flour and sugar sacks from Mrs. Synnestvedt for our collection; 3) Robb reported that the Ohio Historic Preservation Office has given us verbal approval for the repointing project. The work will start soon - it has to be dry and warm; 4) Carolyn and Kay went to Burton to see some of the restored kitchens in their village to get ideas of what we might want to do with our original kitchen; 5) Carolyn will talk to her cousin who owns an antique shop in Salem to see if we might be able to get a few items through him; 6) Maryjo will contact plasterers for estimates on the work in the original kitchen.
Fundraising Committee - 1) Robb will be mailing out his fall fund-raising letter next week. Volunteers will meet Saturday, Oct. 2 at 10:00 a.m. to stuff envelopes; 2) Elayne Dunlap will come to our October Board meeting to discuss her idea for a Family History Project to use as a fund-raiser.
New Business - 1) Gordon reported Jesse is in the hospital - Ginny was asked to send a card from the board letting him know we are thinking about him; 2) Martha suggested we have a night of Christmas tours of the house for the public - maybe several of the garden clubs would each be willing to decorate a room, tour leaders could discuss Christmas traditions in Alliance and the African-American communities, songs from the 1800's could be included. Robb volunteered to contact the garden clubs, Carolyn will donate a tree and a wreath, Patricia and Ginny will be in charge of the pot luck supper plans and tree decorating. It was decided we would have a clean-up day on Saturday, December 4 from 9:00 to 12:00, our pot luck supper and tree decorating for board members and their families on Sunday, December 5, and public tours on Sunday, December 12. Times and more details will be announced later.
Dates to Remember - 1) Saturday, October 2 at 10:00 a.m. - stuff envelopes for fall mailing at the house - lots of hands make light, quick work; 2) Monday, October 18 at 7:00 p.m. - Planning meeting for Christmas program - everyone is invited to help plan (no work session on Saturday, October 16th)
Next meeting date - October 25th at 7:00 p.m.
