Minutes of the Board Meeting - September 24, 2002
In attendance: Maxine Haupt, Robb Hyde, Gordon Harrison, Frank Barrett, Carolyn Miller, Beth Grey, Evelyn Brown, Pat Sacha, Martha McClaugherty, Jenny Crist, Kay Brown.
President Robb Hyde called the meeting to order at 7:00 pm at the Haines House. In the absence of Ginny Daniel, Kay Brown assumed secretarial duties for the evening.
Treasurer's Report: Gordon Harrison corrected the August report. A total of $2647 was raised during Carnation Week, 2002. 538 visitors toured the house, 113 calendars were sold, and 12 bookmarks. He paid the the 990 EZ tax to the Internal Revenue Service in the amount of $440. This is for organizations with over $25,000 in assets. He is in the process of having the house declared tax exempt. The month of August saw much activity in the house. These needed renovations and expenses are as follows:
White Refrigeration for heating and cooling - $4,200 ($2100 paid)
Boyd & Hawkins -soffits,gutters,flashing - $ 10,942 ($5694 paid)
G&S Printing - $3,122 ($1000 paid)
There is $1896 in checking account. Robb sent letters to 165 people requesting fall donations.
Fundraising/Calendar: Receipts from calendar sales total $1460. In additiion to the previously announced sites, calendars are now available at Trailhead, Hospital Gift Shop and E & C Book Store. There is a book signing of local authors at E & C on Sat. Sept. 28. Robb Hyde will promote calendars on WDPN on 9/24 morning show. Calendar announcement was on MUC ennouncements. Members also will sell calendars at Walmart on Oct. 26 from 9-4. Beth Grey will handle that promotion.
Educational Programs: Martha suggested a Halloween program for 2003. There may be a program for Black History month in February. Discussion centered on donations from school field trips. Martha will present a program to the Alliance Assn. of Sec. on Oct. 1.
Robb is doing a Christmas Civil War program for the Wranglers on Dec. 19.
Renovations: Workdays will continue on first and third Saturdays and 1st and 3rd Mondays.
State Street School donated a range for the kitchen. There is a green notebook for recording collection donations and inventory. Carolyn Miller donated a dry measure and bedwarmer for the house. A handrail was suggested for the backsteps.
Primary Source Research: Robb reported on his research at WRHS on the Western Anti-Slavery Society. He discovered references to the Haines and Grant family participation. Sarah Haines, J. Ridgeway Haines and John Grant were members. J. Ridgeway Haines was an organizer of the Alliance chapter annual meetings. Carolyn Miller shared her research on the parameters of the property. Her information from the Stark Cty. library is attached. She gave members a copy of the information from the Range book. She also shared maps.
Several members will attend the Underground Railroad Summit in Marietta on Oct. 25.
The next board meeting will be October 27.
