Minutes of the Board Meeting - September 24, 2001

In attendance: Robb Hyde, Gordon Harrison, Maryjo Hepler, Virginia Proctor, Maxine Haupt, Evelyn Brown, Jennifer Crist, Karen Twyman, Pat Sacha, Martha McClaugherty.

President Robb Hyde called the meeting to order at 7:05 PM. Karen Twymann, co-chair of Fund-Raising Comiitee should be added to the Board mailing list.

Treasurer Gordon Harrison reported a total income of $13,330.00 with total expenses to date of $2,656.96.

Currently trying to verify who has received a follow-up call from the last mailing.

We will have another mailing to about 500-600 people later this week. A motion made by Martha and seconded by Evelyn to approve up to $300 in expenses for the mailing. Motion passed. We also discussed a newspaper add which will be phase III of the fund-raising campaign. Martha made a motion to approve up to $300 for one or more advertisements. Second by Maxine. Motion passed. Pat told us about a conversation she had with Beth Gray about what to do when you made the follow-up call from the first round of fund-raising letters but no donation has been received. Beth suggested a follow-up letter and she volunteered to write one. Beth will send the letter if contacted with a name and address. Beth’s E-Mail is bgneissguy@aol.com and her phone number is 821-4554. Robb has not heard from the Greater Alliance Foundation or the Olive Branch Foundation.

Open House was very successful! It was a beautiful day and we think there were almost 200 people there. We collected over $141.05 in donations.

Gordon talked with Aid Pest Control and the owner, John Stauffinger (spelling?), will take care of our rodent problem for free! Martha will send him a thank you.

Carolyn Miller of the Genealogy Society has a chronological history of the Haines House property owners.

Martha reported on the meeting with David Sacha, restoration architect from Texas. Notes are available from the secretary. For the most part we need to keep water from getting into the house this winter. The probable source of water getting in is the very clogged gutters.

Community Presentations included “The Wranglers” which Robb gave on September 20 and Martha will give a program to the Cosmopolitan Club on October 11.

Board Members received information about the Friends of Freedom Society meeting October 19-21 in Zanesville. Robb is planning to attend.

New Business

We discussed security and thought at the very least we could install inside timers on the lamps and a motion detector outside light.

There was some confusion as to which committees we have currently. These committees as of now are:

Restoration: Jesse Harry, Chair

Fund-Raising: Pat Sacha and Karen Twyman, Chairs

Membership: Maxine Haupt, Chair

Publicity: Robb Hyde, Chair

Education/ Community Presentations: Maryjo Hepler and Martha McClaugherty, Chairs

We discussed what we could do for those who have supported us financially and with time and work. It was decided to have an event at the Haines House, November 17, 2-4 PM. We will give guided tours of the specific plans we have for the house as a museum, something tracing the history and information about the Underground Railroad. Martha McClaugherty will chair the event.
