Minutes of the Board Meeting - October 28, 2002
In attendance:
Robb Hyde, Beth Gray, Frank Barrett, Kay Brown, Gordon Harrison, Maxine Haupt, Maryjo Hepler, Pat Sacha and Ginny Daniel. Pat's sister from Arizona was a guest.

The Board of Trustees of the Haines House Underground Railroad Project met at 7:00 p.m. at the Haines House.

Treasurer's Report - We have received about $3000.00 in donations as a result of the letters Robb recently sent out.

Sept. report - $1711.00 in donations, $1230.00 from calendars; payments of $9169.30 (1/2 of White's bill, 1/2 of Hawkins' bill and 1/2 of G&S Printing bill)

Oct. report - $2165.00 income includes $440.00 refund from IRS; payments of $1000 to Hawkins, $1,000 to White's and $500 to G&S Printing; balance in checking account $3,097.54

We still owe Hawkins $4000, White's $1000 and G&S Printing $1600

President's Report - Robb took a group of Girl Scouts on a tour today; a group of Alpha Phi Omega service fraternity students from MUC is working at the house each Monday evening this semester; the History/Political Science Club at MUC would like to sponsor a fundraiser of some type for our benefit; Robb is helping with a website one of the classes is developing; Robb is sending out about 120 letters this week for donations; Ashli Zinkhon is putting together a very nice scrapbook of articles and photos of our activities.

Calendar Sales - Pat reported that we have sold about half of the calendars so far; Walmart table was not worthwhile (11 sold in about 6 hours); going to try to get community businesses to see if they will purchase calendars to give to loyal customers; Maryjo will contact Copeland Oaks about possibility of giving a program and selling calendars there; Frank suggested a program at Altercare about the history of the house but didn't think there was much chance of many sales there.

Underground Railroad Conference in Marietta - Frank, Kay, and Evelyn attended the daylong conference in mid-October - found it very worthwhile for networking; speakers in the morning, tours of sites in the afternoon, and a riverboat dinner and cruise in the evening; Evelyn and Kay met Henry Burke whose ancestors were free blacks in Marietta who helped the runaway slaves. They suggested we try to get him as the speaker for our annual meeting - could come and speak to school groups at Alliance and Marlington earlier in the day to make his trip worthwhile.

Renovation Committee - Maryjo has gotten curtain fabric for the kitchen, Ginny will make them. We need to finish the rug for the Grant Room. There was a discussion about plastering - it was decided we ought to wait until the walls were thoroughly dried out to do that (probably late spring or early summer). There was also a discussion about closing off completely any access critters might have to the basement area - there are still some openings where animals can get in. Our plans for the next few workdays will be to do inside painting in the kitchen, outdoor painting if the weather is appropriate, scraping of windows in the small front parlor, and finishing up the rug for the Grant Room.

Education Committee - Martha gave a program to the Alliance Area Secretarial Association on Oct. 1 - resulted in the sale of 7 calendars and one membership; the Education Committee is meeting with some Alliance 3rd grade teachers on Nov. 4 at the house to work through how we can meet their needs. We hope to start taking school groups through in February. Martha has contacted the YWCA about doing a combined celebration for Black History month and is awaiting their reply. Gordon will be giving a tour on the 2nd of Nov. and Robb will be giving a tour on Nov. 23rd.

Other Business - Ginny mentioned making an easy to follow list of volunteers for Marlene so she could know who to contact easily for work days. Maryjo will continue to e-mail her with information as to the types of work we will be doing each workday. Maryjo provided names - Ginny will make a list and get it to Marlene.

The meeting was adjourned at 8:00 p.m.
