Minutes of the Board Meeting - October 22, 2001

In attendance: Ginny Daniel, Virginia Proctor, Frank Barrett, Maxine Haupt, Pat Sacha, Karen Twyman, Beth Gray, Jenni Crist, Maryjo Hepler, Jesse Harry, Gordon Harrison, Robb Hyde and Martha McClaugherty.

The Board of Trustees of the Haines House Underground Railroad Project met at 7 PM at the Rodman Public Library Conference Room.

Treasurer's Report - Gordon Harrison

$6,159.69 checking account

$ 650.00 on hand to deposit

$7,000.00 CD

$1,678.52 paid on mortgage

Total income to date: $17,780.00

Total disbursements to date: $2,678.52

Last mailing has generated $3,750 within one month

President's Report - Robb Hyde

Robb invited three more Haines House Underground Railroad Project members tonight (Frank Barrett, Ginny Daniel, Beth Gray) because we need a bigger board. We need to hold an annual meeting to alter our bylaws, which state we have a nine-member board. Maryjo made a motion that the President appoint a small committee to revise the bylaws and schedule an annual meeting. Jenni Crist seconded the motion. Motion carried. Jesse Harry, Jenni Crist, Virginia Daniel and Maryjo Hepler were appointed.

Robb and Maryjo reported on the 6th Annual Meeting of the Friends of Freedom Society and the Ohio Underground Railroad Association Summit:

* About 70 people attended

* The National Underground Railroad Center in Cincinnati is creating a network of "freedom stations" and we may soon be one of them!

* They will provide guidelines, library connections and possibly, grant money.

Fund Raising - Pat Sacha and Karen Twyman

We discussed the 1/4 page ad that will be run in early November and one in February that will include names of donors if they have given permission. We discussed Brent Daniel's sketch of the Haines House. Karen and Pat distributed lists of the people to whom we have sent letters asking for a donation, a list of those who have donated and copies of follow up letters to send to those who have received a letter but have not responded. They also distributed copies of a fund-raising plan for 2001-2002.

Jesse Harry spoke with Chuck Grove about establishing an endowment. Mr. Grove would like the Executive Committee to meet with him. Jesse distributed samples of medallions and a hanging plastic donor plaque that we could possibly sell. The majority seemed to think this would be a good idea next year.

Renovation - Jesse Harry

Jesse had contacted a plumber to go through the house and discuss the heating and water system but he did not show up. Jesse requested a budget of $500 to at least start checking out the boiler and make one bathroom operable. Pat Sacha seconded this and the motion carried. Jesse mentioned that a new boiler from Robertson's would cost $3,120.00. Robb mentioned that for the winter we need locks on all the doors, the windows repaired and the gutters cleaned. Jesse has been waiting for the City of Alliance to demolish the old store building on the property before he started cleaning the gutters. His son, Michael will be repairing the west door.

Other Matters - The Board authorized the President, Robb Hyde, to obtain a mortgage for $15,000.00 through Sky Bank with Alliance Ventures co-signing. The motion was made by Jesse Harry and seconded by Jennifer Crist. Motion carried. The mortgage will be for five years at 7.5% interest with monthly payments of $300.00. This mortgage will allow us to be completely free of the Straubhauers.

We started to discuss a proposed strategy for use of the rooms in the Haines House that Maryjo and Robb put together but it was postponed so there would be time to discuss the November 17 member/donor event.

November 17 Member/Donor Event - Martha McClaugherty

Martha passed around an outline of the event and a sample invitation. Maryjo Hepler will offer a program on the Underground Railroad in Alliance. Ginny Daniel will assist her. Pat Sacha and Frank Barrett will facilitate a panel of former Haines House residents. Robb Hyde and Martha McClaugherty will offer a tour of the house highlighting restoration plans and how we intend to use the house for programming. Maxine Haupt and Virginia Proctor will be "hostesses".
