ALLIANCE AREA PRESERVATION SOCIETY
Minutes of the Meeting - November 27, 2006 at 7:00 p.m.
In attendance - Martha McClaugherty, Mike Aeling, Maryjo Hepler, Michelle Collins-Sibley, Gordon Harrison, Carolyn Miller, Patricia Sacha, Robb Hyde, Frank Barrett, Kay Brown, Beth Gray and Ginny Daniel.
Excused: Pat Lewis, Beth Daniel and Maxine Haupt
Treasurer's Report - 1) Robb reported that we have received $13,000.00 from Evan and Suzanne Morris to complete their $50,000.00 donation. Gordon reported that 1) we have received $12,415.00 from the government toward our handicapped bathroom, parking lot and ramp; 2) we have received $5,191.00 from our fall campaign so far; 3) other than monthly expenses we have paid for tree trimming, Ohio tax penalty, newsletter, and final mortgage payment and have repaid Gordon for his $5,000.00 loan to us plus interest for paying contractors for a total of $6,382,04; 4) balance in checking account is approximately $11,000.00 - he will put some of it in the savings and some in a CD so that it will be gaining interest; and 5) Dec. 1st is our LAST MORTGAGE PAYMENT ($299.47).
Presidents' Report - Martha reported that 1) the sign regarding skateboarding, etc. has been received - Bob Hunter suggested we have it posted, by a vote all were yes except Gordon, Mike will post it; 2) she would like to have another strategic planning session to cover the next five years - it was decided we would meet on Jan. 6 from 10:00 to 1:00 to take down decorations and discuss planning; 3) the URR re-enactment preliminary meeting went well - MUC students are excited about the project, those on the board who attended should e-mail their comments to her; 4) she has just learned that the One Book, One Community project for next spring is Beyond the River, a book on the URR - Michelle is on the committee, Mar. 13th the author will be here - discussion was had about possibly having one of the discussion groups at the house and coordinating our annual meeting with the One Book project.
Renovation - Maryjo reported that 1) the leaves have been raked - seven members were there and it took about 30 minutes; 2)Lowe's estimates materials for the kitchen remodeling will cost about $5,000.00, the labor cost has not come in yet, she will write a grant proposal to Lowe's to see if we can get the project covered; 3) Antiques, Etc. is interested in the rope bed and dry sink - they will come to look at them and give us a price, Maryjo asked if we would be willing to get some items in trade that we are looking for - all agreed; 4) she would like to have a "bathroom" meeting for a very short time after the board meeting to discuss how we want to decorate it.
Education - Kay asked that any of us who have appropriate decorations to use at the house bring them Sat., Dec. 2 so we can decorate for the Lamplight Tour from 9:00 to noon; Beth G. has contacted carolers, punched tin ornaments will be in the library for kids to make, Gordon is in charge of the oil lamps, Patricia will make gingerbread cookies, several others volunteered to make cookies - we will serve cookies and hot cider; would like to have an article in the Louisville Herald and Canton Repository - Beth D. will be asked about it; Ginny will contact the high school to see if we can put a poster on the door at the Symphony Concert that afternoon telling of the tours at the house; 2) we received a call from Washington Elementary wanting to bring more students at one time that we have handled in the past - we will try to figure a way to accommodate them (cost of bussing is their issue); 3) Beth G. and Robb presented a program to Marlington Middle School students about URR music on November 7 - it was well received.
Fund-raising and Publicity - Robb reported that 1) the November newsletter came out last week (it looks great, Robb and Beth D.); 2) the mailing list is up to about 500 now - he asked that each of us bring him 10 new names at our January meeting that aren't currently on the list that he gave out; 3) Ginny will look on the website to see which minutes are missing and will e-mail them to Robb for inclusion; 4) the costs of having a bulk mailing stamp is a one-time application fee of $160.00 plus $160.00 for each year, in the first year it will be more expensive than regular mail because of the application fee, but after that it will save us money, Robb moved we apply for it, Maryjo seconded and all were in favor.
Community Involvement and Membership - 1) Kay mentioned that a woman who portrays Abby Kelly Foster (an abolitionist who once spoke at the Haines House) would be available March 19 if we would want her to speak at our annual meeting - Michelle suggested we might coordinate with MUC and have her speak at their convocation since it is Women's History Month - she charges $350.00 plus expenses (she is from Connecticut) - Kay, Martha, Michelle and Patricia will look into this further.
Archives and Collection Care - 1) Carolyn and Joanne Dagenhardt have made a list of items in all rooms except the old kitchen, Beth Gray has a digital camera and would be willing to help photograph the items for our inventory; 2) Patricia will speak to Rayna Shilling about consolidating all our historical information about the house into a report.
Alliance Historical Society Liaison - The committee will be having a program on the "Theaters of Alliance" to be held Feb. 11 at the Neighborhood Center. Work is progressing on the planning of it.
Old Business - None
New Business - 1) Michele mentioned that Marilyn Nelson, poet laureate of Connecticut will be speaking April 2 or 3 at a MUC convocation - she would like it mentioned in our newsletter - it is free and open to the public; 2) Martha showed some items she has had stored at her house from the Alliance Preservation Society (slides, early city maps and info about the Ohio canal system); 3) Martha announced we need to have a nominating committee to find new board members for terms beginning next spring - Gordon, Kay and Ginny have all served two terms, Beth D. was appointed to fill a position left vacant so she can be elected to serve another term. Martha asked for board members to be thinking of new people we could ask to serve on the board - names of volunteers and docents were suggested; Mike, Maryjo, Martha and Beth G. volunteered to serve on the committee.
Next meeting - There will be no meeting in December - Have a wonderful holiday!! Our next meeting will be January 22, 2007 at 7:00 p.m.
Dates to Remember: Sat., December 2 from 9-12 to clean and decorate the house for the holidays (we will NOT meet on December 9th); Sat., Jan. 6, from 10:00 - 1:00 to take down the decorations and work on strategic planning for the next five years. PLEASE TRY TO BE AVAILABLE FOR THE JAN. 6TH SESSION.
