ALLIANCE AREA PRESERVATION SOCIETY
Minutes of the Meeting - November 22, 2004 at 7:00 p.m.
In attendance - Robb Hyde, Carolyn Miller, Frank Barrett, Patricia Sacha, Maryjo Hepler, Gordon Harrison, Martha McClaugherty, Kay Brown, Elayne Dunlap, Mike Aellig and Ginny Daniel.
President's Report - Kay called the meeting to order.
Treasurer's Report -
Education Report - Martha reported - 1) Two school groups have toured recently - Conotton Valley High School on Nov. 2 and Regina Coeli 6th grade on Nov. 13; Docent training was held on Nov. 6 for 13 people including 5 new docents; 2) she purchased several book which we had given her money for last February; 3) Doris Walker had volunteered to braid a rug for us if we will provide the wool materials.
December 12th Open House - will be held from 6:00 to 8:00 p.m., Martha, Kay and Beth Gray met to discuss. The following items were decided - 1) generic Victorian theme; outside there will be carolers with lantern (Beth in charge, hopefully in costume); 2) Community Room - orientation, information about giving notecards and medallions as gifts; 3) dining room - Maryjo will do an apple tree for the table decoration, Frank will contact Charin Fink re: borrowing some of her decorations; 4) Gallery - Craig Bara will do display of old Christmas cards; 5) Old Kitchen - show how slaves celebrated Christmas - Kay and Pat L. will coordinate; 6) Parlor - little tree (Carolyn will donate - Kay and Patricia will pick up), decorated in cranberries, popcorn and paper chains; 7) Yellow Bedroom - Underground Railroad information; 8) Grant Room - Alliance history, African American Christmas history, Frank will be stationed there; 9) Library - Mary Beth Hunter will help visitors do punched tin ornaments of the house
Betty Domino has lamps we can use, but we need to keep a careful eye on them, have fire extinguishers available, we need to practice with lanterns the week before; Robb will do name tags for board members and docents; Beth G. will donate battery operated candles for windows - Martha moved, Frank seconded, all approved.
Renovation Report - Maryjo reported - 1) the back door has been bricked in; 2) mortar has been tested and approved; 3) pointing will be finished this fall on areas that have already been dug out, rest will be done in the spring when the weather breaks; 4) Mike Aellig is working with Joe Reese to fix the second floor porch floor; 5) 4 plasterers are giving us estimates to repair the old kitchen and attic areas; 6) chimneys need to be capped; 7) furnace filters need to be changed; 8) windows on east side in attic need to be closed - there is water damage to ceiling in Grant room.
Fundraising Committee - Gordon reported that the fall campaign has brought in an additional $1,400.00 this month (almost $5,000.00 total so far)
Stark Community Foundation Decision - Martha moved that we let income accumulate until we need to use some of it, Patricia seconded, all were in favor.
Family Tree Books - Elayne Dunlap gave us more information about the family tree books - she will have some ready to sell at our Open House; she has very graciously volunteered to donate the first 50 books so that the entire profit from them will be ours, we will have an article in the Review to encourage people to consider doing the project over the holidays when children are home from school and in from out-of-town
New Business - 1) Patricia reported that John Mattox is interested in doing our annual meeting in 2005 at no charge - he will accept a donation for his museum though, Patricia will finalize with him; 2) Maryjo and Robb are talking to Kiwanis Dec. 9; Robb hopes to talk to all service groups to encourage donations; 3) Robb said he would like to have a historical marker installed outside during Carnation Week 2005 - would like to do it in conjunction with Friends of Freedom Society; the cost will be approximately $1,700.00 - Robb moved we spend up to $2,000.00, Frank seconded, all approved; 4) Maryjo moved and Robb seconded that we purchase a rug for the parlor (the one in there currently is borrowed) - Maryjo found an appropriate one on sale at Penney's for approximately $200.00 - all approved; 5) Martha declines to be in charge of Carnation Week activities next year - board members should be thinking of volunteering for this position.

Dec. 4 - cleaning party to get ready for holidays - 9:00 to 11:00 a.m.
Dec. 4 - decorating party - 11:00 a.m. to 1:00 p.m.
Dec. 5 - finish decorating - 3:00 to 5:00 p.m.
Dec. 5 - Pot Luck Supper, tree decorating - 5:00 p.m.
Dec. 12 - Open House - 6:00 to 8:00 p.m.
Jan. 8 - work morning
Next meeting date - No board meeting in December, next meeting January 24,
2005 - 7:00 p.m.
