Minutes of the Board Meeting - June 24, 2002
In attendance: Maryjo Hepler, Robb Hyde, Gordon Harrison, Frank Barrett, Kay Brown, Martha McClaugherty and Ginny Daniel . Carolyn Miller and Charles Haines were guests.
The Board of Trustees of the Haines House Underground Railroad Project met at 7:00 p.m. at the Haines House.
Treasurer's Report -
Our income for the month was $409.00 from memberships, two presentations, sale of copper from the heating system and sale of bookmarks, and a donation. Our expenses totaled $757.73 for the house payment, taxes, water bill, electric bill, and lawn service. The balance in the treasury is $12,296.08. There is an attached sheet with the breakdown of expenses and income in the secretary's notebook.
President's Report -
1) Robb drove a car in the Martin Luther King Parade last Saturday that advertised our project. Kay manned a table at Maple Beach Park in the afternoon and handed out our flyers.
2) There was a very nice article in the Akron Beacon Journal about the underground railroad in northeast Ohio - the Haines House was mentioned several times.
3) Robb sent a letter to all people on our volunteer list concerning our progress and our wish for helpers at our work sessions.
Renovation Committee -
1) We will be working at the house on the 1st and 3rd Saturdays from 9:00-12:00 and on the 1st and 3rd Monday evenings from 6:30-9:00. The current projects are interior painting in the Grant Room and exterior painting of the back wall and windows.
2) Maryjo is looking for a rag rug for the Grant Room and for someone to reupholster the love seat
3) All the basements windows are now in.
4) Gordon stated that we really need to get the heating system in before winter so that we can use the house for tours as well as work sessions
5) Maryjo was contacted by Americorps - she is to write a letter showing our interest in having them come to help us. We would have to have a lot of work scheduled for them. They would stay 1-2 weeks depending on our work load. They are 18-24 years old and stay overnight in one place (Martha will look into housing them at a church or possibly at MUC if they come next summer). They are currently scheduling for Nov. & Dec.
Fundraising -
Calendar photos will be taken soon - hopefully, we will have them in time for Carnation Days (or at least one we can show people and take orders from.
Education Committee -
Martha will be bringing a group of Limrod campers through the house this summer.
Other business -
1) Carnation Days - We will not sell melon balls at the Rib Burn-off because of volunteer limitations. The house will be open from 1-3 each day with the exception of parade day. We decided we would ask for a $2 donation and it was also suggested that we put out a donation jar in case people wanted to give an extra donation. Ginny is to find out about the cost of space in the pavilion - if we have a table for non-profits and don't have to pay for the space, we are not permitted to sell anything. It was decided we really want to be able to sell our calendars so if the cost weren't prohibitive, we would pay for a space. Kay suggested that her son would be willing to make T-shirts for our board members - she will contact him for his ideas on what might look best.
2) Gordon suggested we contact Bob Hunter for his advice about the lot behind the house to maybe be able to speed up the process of having it turned over to us. He said we can probably get blacktop grindings from the water department to flatten out the area. Maybe Steve Clunk would help us out with his truck. Gordon will look into this.
3) Ginny suggested we are in need of stationery. Charles suggested we put our e-mail address and website on it. Robb will prepare a master and Gordon will copy it to save the cost of having it printed.
4) Ashley Zinkhon has volunteered to be our historian. She should receive all photos and articles that we get.
5) John Hawkins will be here (hopefully soon) to work on the upper story of the porch, and to work on replacing the 3" spouting with 4", and painting the soffits.
6) Carolyn Miller has done a lot of research on this property. She is a local resident and president of the Alliance Genealogical Society. We were happy to have her at the meeting. Charles Haines is a descendant of a relative of Ridgeway Haines. He lives out of state and was interested in seeing the house.
7) Our next Board meeting will be July 22nd at 7:00 p.m. at the
House.
8) Martha moved to adjourn and Gordon seconded the motion. All were in favor. The meeting was adjourned.
