ALLIANCE AREA PRESERVATION SOCIETY

Minutes of the Board Meeting - July 22, 2002

Minutes - in attendance: Maryjo Hepler, Robb Hyde, Gordon Harrison, Kay Brown, Martha McClaugherty, Pat Sacha, Jesse Harry, Maxine Haupt, Beth Gray and Ginny Daniel.

The Board of Trustees of the Haines House Underground Railroad Project met at 7:00 p.m. at the Haines House.

Treasurer's Report -

Our total income for the month of June was $818.00 and our expenditures were $1,007.73 leaving a balance of $12,026.38 in the treasury. There is an attached sheet with the breakdown of expenses and income in the secretary's notebook.

Rice's Plumbing donated all the copper fittings for the updating done in the kitchen and bath - we paid for labor and other materials. A thank you note will be sent to them.

President's Report -

1) Robb has composed a letter dated July 26 to send out to some members and donors updating them on the status of our project. A copy is attached to these minutes.

2) Robb did a spot on WDPN last week re: volunteering and our Open Houses during Carnation Week.

3) Friends of Freedom Conference will be Oct. 18-20 in Marietta; Robb will be attending at least part of the time, all are invited to go

Renovation Committee -

1) We have completed a handicapped ramp at the back of the house; painting in the Grant Room is about 2/3 done; 2 outside doors have been painted; the back wall of the house has been repainted; basement windows will be finished next week; Robb's mother-in-law is redoing the dining room drapes; group from Robb's church coming this Saturday to work; we will put sign on tub and sink during Carnation Week offering them for sale for best offer (Jesse will look into what a reasonable price would be); waiting for Boyd & Hawkins to do roof work; Larry White will put furnace in basement for first floor heat this fall; Gordon, Robb & Jesse will talk to Steve Clunk about putting asphalt grindings on the vacant lot to smooth it out for parking.

2) Maryjo is creweling a seat cover for one of the chairs; Jesse's son is fixing the chair; Maryjo got a $1,700.00 estimate on a rag rug for the Grant Room - she will look into local options; Martha suggested putting filters on the windows to filter out UV light

3) Martha mentioned the State and Local History Society - they might have pamphlets that could help us tackle various jobs; Jesse suggested a local 4-H group might do a quilt or a rag rug for us as one of their projects; Ray Koehn might be interested in having his youth group help us - Jesse will talk to him; Jan Harry has AmeriCorps workers coming for 6 weeks this fall - we might be able to have them part of the time; MUC may be interested in us as a site for some of their Service Learning fulfillments

Fundraising -

The calendar project is well under way - proofs will be viewed July 23; shots turned out very well; Robb has written a short piece about each of the sites; we hope to have them in time to sell them at our Open Houses beginning Aug. 11 - we will also sell them at Carnation Days in the Park; sepia tone on cream paper with the possibility of a red carnation on each page; G&S Printing is printing 1000; we will sell them for $10.

Education Committee -

Martha brought a group of Limrod campers through the house this week.

Martha will organize our tour days - she will make signs for each room so it can be a self-guided tour basically. We hope to have 3 people working each day - one to sell memberships, bookmarks and calendars and to take volunteer forms and one person downstairs and one upstairs to answer questions. We are going to charge $2.00 for the tour, students and members free.

Other business -

1) Carnation Days - We will have a table under the pavilion and will sell our calendars, bookmarks and membership and have volunteer sheets available for interested persons. Maryjo will prepare a picture board. Ginny will make sure work time slots are filled.

2) Our next work days will be Aug. 3rd and 5th. Our next board meeting will be Aug. 26th at the house. Maxine moved that we adjourn. Beth Seconded the motion. All were in favor. The meeting was adjourned.
