ALLIANCE AREA PRESERVATION SOCIETY

Minutes of the Meeting - February 28, 2005 at 7:00 p.m. 

In attendance - Robb Hyde, Frank Barrett, Patricia Sacha, Maryjo Hepler, Gordon Harrison, Martha McClaugherty, Beth Gray, Kay Brown, Jenni Crist, Mike Aeling and Ginny Daniel. 

President's Report - Kay called the meeting to order.

Treasurer's Report - Gordon reported that he paid the regular monthly bills in January.  There were no donations or memberships received.

Annual Meeting - Patricia reminded us that the Annual Meeting will be held March 21st at 6:00 p.m. at the YWCA. Martha will be working with the Y staff to develop the menu.  John Mattox, our speaker, will arrive in town about 4:30 p.m. - Frank, Martha and Kay will meet him and take him on a tour of the house.  Patricia reminded us to make our reservations directly with the YW - we will pay at the door.  Reservations are due by March 14th.  Patricia and Kay got the informational mailing out regarding the dinner and membership dues.  Three plaques have been purchased at a total cost of $117.00 (including a one-time art logo fee).  Plaques will be presented at the Annual Meeting.  George Salsberry will be contacted about attending the meeting and doing an article in the Review.

At the Annual Meeting - 1) Elayne Dunlap will have a table to display our family history project and to hopefully get people interested in participating; 2) we will have membership blanks available; 3) we will have volunteer forms available

Jenni prepared a draft amendment for the By-Laws regarding honorary board members.  The paragraph was discussed and changes were made to it.  Maryjo moved and Mike seconded the motion to accept the amendment.  All were in favor.  The amendment reads:

The Board, at its discretion, can nominate lifetime honorary members to the Board.  Such nominees shall be those individuals who have provided exceptional service as Board members of the Alliance Area Preservation Society.  Such nomination will be a way of honoring and acknowledging their support of the Alliance Area Preservation Society, but will not require any commitment of time, duty or activity in return.  The Board shall entertain motions for any nominees at a Board meeting held before the annual membership meeting, so that their honorary status can be announced at the Annual Meeting.  Such motion for nomination will pass on a majority vote of the Board members.

Renovation Report - Maryjo reported that Dana Tournoux's bid for doing the work in the attic and old kitchen was accepted.  We need to finish cleaning out the areas so he doesn't have to do so much removal work.  We need to get an electrician to wire the kitchen before Dana starts.  We will not be wiring the attic - we do need to get a battery operated lantern though to have light in the attic.  Maryjo strongly urges us to find a person to be volunteer coordinator to make calls before our workdays so that we can have more help.

Our work days will be the 1st and 3rd Saturday mornings from 9:00 a.m. to noon.  Please help us if you can.

Tony Collins-Sibley has volunteered to work on the front porch repairs.  Mike has talked with Roy Koehn - Roy will get back to us with an estimate.

Fundraising - Robb will contact Elayne Dunlap and the Review about having an article in regarding our family history project.  Robb reported we received about $5,000.00 during the fall campaign.

Education - Martha - 1) mailed letters to 28 docents and prospective docents regarding training reviews; 2) again reiterated that she does not want to be the coordinator for Carnation Week activities; 3) suggested that we have a good group of docents and that maybe we could be open one day a week especially during the summer; 4) reported that Coterie will take a tour of the house on April 21 at 11:00 and then go to the YW for lunch.

New Business - 1) Mike Aeling has donated a DVD player for our use - thank you, Mike; 2) Frank will check on the process of cataloguing information so that we can begin to catalogue our donations; 3) Maryjo, Jenni and Beth will be on a landscaping committee to talk with area landscapers to develop a plan for the yard - they will talk with Barry Kreidler, Mort DeHoff and Mike Hoover to get site plans and estimates.  Area garden clubs have volunteered to donate money to the cause.


Dates to Remember -  March 5th and 19th - 9:00 to 12:00 - work days
March 21st - 6:00 - Annual Meeting at YWCA
Reservations due by 14th - call YW, pay at door

Next meeting date - March 28, 2005 - 7:00 p.m.

Adjournment - Robb moved and Martha seconded that we adjourn.  All approved.
