Minutes of the Board Meeting - August 26, 2002
In attendance: Maryjo Hepler, Robb Hyde, Gordon Harrison, Kay Brown, Martha McClaugherty, Pat Sacha, Jesse Harry, Maxine Haupt, Virginia Proctor, Evelyn Grown, Frank Barrett, Carolyn Miller and Ginny Daniel.
The Board of Trustees of the Haines House Underground Railroad Project met at 7:00 p.m. at the Haines House.
TREASURER'S REPORT - The beginning balance for the month of July was $12,026.38. After expenditures for utilities, plumbing repairs, renovation materials, stamps and a down payment on our calendar, our ending balance was $8,834.05. There is an attached sheet with the breakdown of expenses and income in the secretary's notebook. As of August 26th, the balance in our account is $9,687.85.
We took in a total of $1,835.50 during Crnation Week as a result of calendar sales, bookmark sales, memberships, tour fees and donations at the house and Carnation Days in the park.
Gordon announced that we had received a $1,000 donation to our Memorial Endowment Fund from Virginia Robertson. The Alliance Foundation will invest it for us. We will be able to use the interest from our endowment fund in the future while always leaving the principal invested.
PRESIDENT'S REPORT -1) Robb stated the roofers had been working on the house during Carnation Week. They repaired and re-installed some of the old gutters, put new gutters on the front of the house, repaired the soffits and facias, installed copper flashing, and replaced the porch roof; 2) McConnell Agency has continued our insurance policy for another year.
RENOVATION COMMITTEE - 1) The furnace and air conditioning system will be installed before cold weather; 2) Jesse is overseeing the repair of the brick wall on the east side of the house; 3) before winter, our projects will include glazing and painting the outside of the windows, painting the pump cover and then bolting it down, painting the front door, and starting work to restore the old kitchen; 4) Evelyn suggested we need a railing on the steps leading up to the back of the house; 5) the next work days will be Saturdays, Sept. 7 and 21, and Monday evening the 16th.
FUNDRAISINING - Pat reported that 108 calendars have been sold so far. Our total bill for the calendars came in over budget at $5,113.22. It was suggested that Pat and her committee contact the Review about an article. She is putting calendars in businesses around town.
Fundraising activity for the future was suggested - Christmas Open House with mid-1800's decorations.
EDUCATION COMMITTEE - Martha was complimented for her work in getting informational signs up in each room for our Carnation Week tours. Martha was very pleased with the turnout - 538 people toured the house. Several Key Club members and college students assisted with the tours.
Maryjo mentioned that during the month of October the schools will be emphasizing Ohio's landmarks in honor of Ohio's 200th birthday. After discussion, we decided that October might be a little soon to develop activities for the house, but it was suggested that we might do something during Black History Month in February. It was suggested we have people dressed as people who were important in black history. Evelyn and Virginia agreed to be part of that effort. We decided we should do a few activities really well during the year so that people will want to keep coming back to the house, instead of doing a lot of things haphazardly.
HAINES HOUSE HISTORY - Carolyn brought information about the wills of John Grant and J. Ridgeway Haines. Grant bought the land for $2450.00. JRH bought his land from JG in 1852 - had been married 12 years at that time. JG died in 1854 - had made loans to all his children that were taken into account in his estate. Stacy Grant kept track of all the blacksmithing work he did for his dad and was repaid for it when his dad died.
OTHER BUSINESS - 1) Robb would like to eventually merge our group with the Alliance Historical Society - this will take time; 2) Martha suggested her neighbor, Marlene Ware, would be willing to be our volunteer coordinator. She would like to get involved with our group. She is able to do phoning and e-mailing, but not physical work. Robb will give her a list of names and positions they can fill, and she will be notified before each work day as to what we will be doing so that she can line up people to work; 3) Martha also said Pamela Barnhouse had indicated she would be willing to help on membership. Her name was given to Kay; 4) Martha said that her husband, Chuck, had donated a library display case to us that was no longer needed at the Nature Center; 5) Kay has some extra t-shirts to sell; 6) Ginny mentioned that Dan Graybill had stopped at our booth and talked to Beth - he is willing to review our grant proposals before we send them in to twee! k them and help us possibly get more accepted.
Our next board meeting is September 23rd at 7:00 p.m. at the house. Jesse moved that we adjourn and Evelyn seconded the motion.
