ALLIANCE AREA PRESERVATION SOCIETY

Minutes of the Meeting - August 22, 2005 at 7:00 p.m. 

In attendance - Maryjo Hepler, Gordon Harrison, Kay Brown, Jenni Crist, Maxine Haupt, Robb Hyde, Mike Aeling, Carolyn Miller, Frank Barrett, Beth Gray and Ginny Daniel. 

President's Report - Kay called the meeting to order.  She said she was very pleased about the great team effort we expended in getting ready for Carnation Week and manning the house and park during the festivities. 
Treasurer's Report - Gordon indicated that the normal bills have been paid this month.  He doesn't have a complete report on Carnation Week activities yet.  He will report next month.  Our Stark Community Foundation account now has $34,487.82 in it.

Renovation Report - Maryjo reported that 1) Gary Duvall, architect, hasn't come yet to look at the vacant lot - she will contact him again this week; 2) we will talk to the City Engineer after we get a drawing for the lot from the architect; 3) Maryjo, Robb and Gordon will meet with Mr. Campbell to review items that still need to be taken care of regarding the tuckpointing; 4) Maryjo will meet with Dave Hoover to plan the landscaping - she will then set up a landscaping meeting with Hill & Dale Garden Club, Alliance Garden Club and Town & Country Garden Club to discuss our plan; 5) Maryjo asked Mike A. to see if he could fix the back door so it opens more easily and to fix the stove pipe in the "old" kitchen - he agreed to do so; Mike has finished the attic floor and the "old" kitchen woodwork repairs and it is beautifully done - many thanks, Mike; 6) Elizabeth Cartwright has finished the draperies for the west parlor and Maryjo will hang them soon; 7) Maryjo would like to finish the "old" kitchen floor - Mike suggested we use Damon's wax pour-on product instead of paint - he thinks it would be much more serviceable; 8) the window frames need to be scraped, caulked and painted on the outside; 9) Maryjo suggested we ask Tony Collins-Sibley to build a water shelf for the "old" kitchen - Beth said she may have some old wood to donate for the project; 10) Maryjo suggested we attach room description signs to the walls directly rather than use easels since they could very easily cause someone to trip and fall - all agreed.

Education Report - Martha was not present, but she sent in a report: As possible ideas for fundraising, she would like to plan day camps for children, plan an Underground Railroad Re-enactment with the Nature Center; have another Lamplight Tour this Christmas season, and plan some intergenerational family workshops.  She would like someone else to take over the coordination of school tours.  Please be thinking about whether you could do so or have someone to suggest as a possibility.

Carnation Week - 1) Maxine and Kay indicated we had 340 visitors during Carnation Week tours including 15 children on Wednesday evening for Beth's music program.  We took in $715.77 in donations and $45.00 in the sale of various items for a total of $760.77.  We also sold 10 Stark County Then and Now books for a total of $317.50; 2) it was suggested we put the address and open house hours on our display board for Carnation Days in the Park next year; 3) Ginny suggested that we do a separate board display of information about the Underground Railroad since so many people are unclear as to what it really was - she will work on that for future displays; 3) Ginny also suggested we prepare a business card with information about the house on it that we can hand out that would have a map on the back showing the home's location

Fundraising - Robb 1) will prepare a new fund-raising letter for distribution in October; 2) sent a progress report on our activity for the Save America's Treasures grant; 3) will be requesting an extension of time for the grant so we can have the handicapped bath and ramp built.  Beth suggested we charge a specific amount for the programs we do in schools rather than ask for a donation.

Old Business - 1) Mike took the flags George Weimer had donated to us to Jim Brady to sell in his store downtown - we will divide the profits with him and Mabel Hartzell; 2) Maryjo indicated she was disappointed with the trunk of items we received from the Ohio Historical Society for use during Carnation Week - we did display the shackles, map and lamp, and Maryjo made a copy of the 15 minute tape they sent.

New Business - 1) Kay will send thank you's to the garden clubs, music group, etc.; 2) Ginny will send thank you's to Barb Graf for her donation, and Mike Pauli for his work on the electrical projects; 3) Maryjo moved that we purchase a Stark County Then and Now book for the house - Ginny seconded the motion, all were in favor, Gordon will do a check for $31.75; 4) it was suggested that we send some of our brochures to the museum in Massillon and, in turn, get some of their to hand out so that people know where another URR museum is located nearby; 5) Jenni reported that Mabel Hartzell Museum is going to have a "Cemetery Tour" the 1st Sunday in October - all are invited, more information next month; 6) a suggestion was made about having a séance near Halloween - after discussion, Robb and Frank will chair the event and it will be billed as an evening of parlor games (rather than stressing the séance), it will be held Oct. 22 from 6-9 p.m. - more information next month; 7) The Underground Railroad Convention will be held in Columbus Oct. 14-16 with Dorothy Redford from Somerset Place in North Carolina being the keynote speaker; 8) Contact Kay for more information about Stark Community Foundation's annual dinner (cost is $30); 9) it was suggested that we issue a special invitation (leave one on doorknobs) to neighbors of the house for our special programs to see if we can get more involvement from the neighborhood.

Dates to Remember -  due to schedule conflicts, we have changed our WORKDAYS IN SEPTEMBER TO SATURDAY, THE 10TH AND THE 24TH FROM 9:00 - NOON - please note this on your calendars.

Martha would like to have an Education Committee meeting on Saturday, Sept. 17th from 10:00 - noon - everyone is welcome.

September 26th - next Board Meeting - 7:00 p.m.

Adjournment - Beth moved that we adjourn and Carolyn seconded the motion.  All approved.  Meeting was adjourned at 8:05 p.m.
